We are no longer accepting applications for any special sessions you’d like to host during the 2024 BMES Annual Meeting in Baltimore, Md., from October 23-26. Below you will find answers to FAQs for you to review before applying.

To ensure that organizers can assign approved space and secure the program of events, applications must be received by May 15. Applications received after this date will not be considered.
What is a special session?
Special sessions are events and functions for attendees that do not fit within an existing track and often include:
- Committee meetings
- Special Interest Group (SIG) meetings/events
- Lectures
- Panel discussions
- Board meetings
- Social events
- Award ceremonies
- Breakfast/Lunch/Dinner events
Who can apply?
Any BMES member, committee, SIG, affiliate, or stakeholder may submit an application.
How much does it cost, and how do I apply?
For special sessions, there is no submission fee. However, if you are requesting more than one session, you must submit a request for each one as a separate submission. Start a submission by selecting the Submission Category 'Special Sessions'
Please ensure that your Special Session submission includes all projected speakers. Submissions without confirmed speakers may not be considered for inclusion.
Please note, your submission does not include conference registration. You will need to register through the BMES 2024 Annual Meeting registration website. All presenters must register for the conference by Thursday, August 1, 2024 and attend the event in-person. Speakers will not be allowed to participate via videoconferencing.
Why do I need to submit a request?
All sessions, events, functions, and activities that are held in conjunction with the BMES annual meeting by sponsoring companies, related organizations, committees, or SIGs, whether at the Baltimore Convention Center, host hotels, or outside venues, must be approved by BMES.
Please note that applications for Hosted University Receptions are separate and can be found within the exhibitor portal.
When will I hear back?
BMES will review all requests for special sessions, and a confirmation of their approval/denial status will be sent to the contact person submitting the request in mid-July.
