We look forward to and can't wait to see everyone in San Antonio for the 2022 BMES Annual Meeting! We've compiled a list of important topics that you might have questions about as you prepare to travel for BMES2022. 

MEETING APP
Your first action item before the start of #BMES2022 is to download the 2022 BMES Annual Meeting mobile app and use it to enhance your meeting experience.

  • Browse the program by date or session type

There will also be a PDF program companion guide for additional information not included on the online agenda or app including all authors.

My Planner on the mobile app allows you to do the following:

REGISTRATION LOCATION AND HOURS

Please pick up your badge at BMES Registration in the Henry B. Gonzales Convention Center in the foyer of Exhibit Hall 4 (Street Level). Registration hours are:

12:00 p.m. – 7:00 p.m.

Thursday, October 13

7:00 a.m. – 5:00 p.m.

Friday, October 14

7:00 a.m. – 5:00 p.m.

Saturday, October 15

7:00 a.m. – 12:00 p.m.

Self-check-in will be available to print your badge on-site. You will receive a separate email with your badge information before arriving on-site to review and make any edits.

Please wear your badge at all times. You must display your badge for admission to all BMES sessions, exhibit hall, poster displays, and special events.

BMES HEALTH AND WELLNESS CHECK-IN

As part of the registration process, every attendee was required to affirm his/her/their commitment to comply with the in-person meeting guidelines, including the health and safety policy.

BMES will require all attendees to upload proof of vaccination or a negative COVID-19 PCR test (taken within 72 hours of arrival) prior to the Annual Meeting. Wearing a mask is required for all functions of the Annual Meeting.

Verification Process

Please upload your preferred documentation no later than Sunday, October 9

  • Attendees who have provided mobile numbers during registration will receive a text message with a link to upload documents.
  • If you do not receive a text message, you can scan the QR code below to upload your document.
  • Each participant must upload their own document through their own mobile device.
  • International Attendees: The QR code below will not work from your mobile device. Visit bit.ly/BMEShealth for the web messenger link to use only for individuals who are unable to upload via text or clicking on the QR code. 

To avoid lines at registration, upload your documents no later than Sunday, October 9.

DRESS CODE

The dress is business casual for all BMES events. This includes slacks, nice jeans (no holes or rips), button-down shirts, blouses/tops, skirts, and nice sneakers/sandals/boots.

Business casual is NOT: dirty sneakers, graphic t-shirts, flip flops, sweatshirts/sweatpants, hooded sweatshirts, loungewear, athleisure, bike shorts, or yoga clothing.

EXHIBITOR LOAD-IN & SETUP

All items must be brought in through the loading dock. Setup hours are:

WEDNESDAY – MEET THE FACULTY CANDIDATES FORUM

The event is on Wednesday, October 12, from 4:00 p.m. to 6:00 p.m. in Exhibit Hall 3 at the Henry B. Gonzales Convention Center. This is an opportunity for faculty, recruiters, and Department Chairs to speak directly with current graduate students and postdoctoral researchers who are seeking faculty positions. Candidates were reviewed and accepted based on their availability for the 2022-2023 recruiting cycle.

Prospective employers do not need to pre-register to attend this event; however, they must be registered for the Annual Meeting since a badge will be required to enter to meet the prospective candidates.

WEDNESDAY – WELCOME RECEPTION 

Join your fellow registrants as we kick off the 2022 BMES Annual Meeting!

All registrants are invited for some light refreshments at the Welcome Reception on Wednesday, October 12, from 6:00 p.m. to 7:30 p.m. in Exhibit Hall 4 (Street Level) at the Henry B. Gonzales Convention Center.

Attendees are required to show a government-issued ID to order an alcoholic beverage (for those 21+).

THURSDAY – HOSTED UNIVERSITY RECEPTIONS 

Hosted University Receptions will take place on Thursday, October 13. Please review the agenda or the mobile app for more information on locations.

FRIDAY – BMES BASH AT THE RIVERWALK

Don’t miss the exciting BMES Bash on Friday, October 14, from 6:30 p.m. to 10:00 p.m. We will take over the Hard Rock Café, Howl at the Moon, and Paesano’s on the RiverWalk with live music, karaoke, and desserts! Walking directions will be included in the app, and we will also have student volunteers point the way with signs from the respective hotels. Drink tickets will be included with your badge.

For attendees ages 21 and older: Bring your government-issued id to get a ticket for 1 alcoholic beverage (can also be used for a non-alcoholic beverage).
Attendees under the age of 21: You will receive a ticket for one non-alcoholic beverage.

Your Annual Meeting name badge is your admission to the Bash. Admission to the Bash will be denied if you do not show your badge.  

TICKETED SOCIAL AND LUNCHEONS

Tickets are required for the three DEI events: LGBTQIA+ Dessert Social (Wednesday evening), Celebration of Communities of Color in BME Luncheon (Thursday), and Gender Equity in BME Luncheons (Friday).

If you pre-registered and purchased a ticket to attend one or more of these events, it will be included with your badge.

WEATHER

The average weather is forecast to be in the low-80’s°F during the day and in the low 60’s° at night. Please dress in layers to adjust to variations in temperature.
